In Kryvyi Rih, international payment disputes can’t be tracked in real time — but here’s what actually matters

I came to Kryvyi Rih with a mindset shaped by Shenzhen and Hangzhou: payments should be traceable, instant, and transparent. I run a wristband manufacturing business, sourcing materials from China and selling through EU marketplaces. When a German buyer refused to settle a €12,000 invoice last month — claiming “no record of delivery” — I assumed the issue was fraud. I asked my Ukrainian accountant: “Can we track this payment in real time?”
She paused. Then said: “In Kryvyi Rih, we don’t track payments. We track relationships.”
That moment changed everything.
At first, I thought it was a technical limitation. But over the next six weeks, I learned the truth: the difference between Chinese fintech efficiency and Ukrainian financial resilience isn’t about infrastructure — it’s about survival logic.
Kryvyi Rih, even the largest banks rely on SWIFT with 2–5 day settlement windows. There is no equivalent to Alipay’s “transaction history with screenshots.” When a payment is delayed, you don’t check an app — you call the bank manager, then your buyer’s finance officer, then their accountant, then their courier.
I once waited 11 days for a €8,000 payment. I panicked. I sent emails. I demanded screenshots. My buyer replied: “We sent it on the 3rd. The bank says it’s in transit. Call them on Monday.”
I called. The bank said: “We received it. It’s being reviewed for compliance.”
I asked: “Compliance with what?”
They said: “Since the war started, all international transfers are manually screened by three departments. We don’t have enough staff. We prioritize humanitarian aid first.”
I didn’t get the money until Day 14. But when I finally did, the payment came with a handwritten note from the bank clerk: “Sorry for the delay. We are doing our best.”
That note meant more than a payment confirmation.
Ukraine’s National Bank of Ukraine (NBU) has maintained core banking functions despite missile strikes on data centers. But its systems are not “smart.” They are stubbornly human.
Here’s how it works:
- A Ukrainian company receives a foreign payment.
- The bank flags it for “sanctions screening.”
- A clerk manually checks the sender’s name, company registration, shipping documents, and even the product’s HS code.
- If anything looks “unusual” — like a wristband shipment to a German reseller — the payment is held.
- The company must submit a signed affidavit: “We are not selling to any Russian-affiliated entity.”
This isn’t bureaucracy. It’s armor.
In 2023, a Chinese exporter lost €200,000 because their invoice said “sports equipment.” The NBU flagged it — because “sports equipment” was on a Russian dual-use list. They had to reissue the invoice as “athletic wrist support for rehabilitation.”
I now keep three versions of every invoice:
- Standard English
- “Medical rehabilitation aid” version
- “Humanitarian support item” version (for EU-funded buyers)
You don’t need real-time tracking. You need flexible documentation.
In Kryvyi Rih, your accountant is your CFO, your lawyer, and your crisis coordinator. And your best tool? WhatsApp.
I’ve been using the same accountant for 14 months. Her name is Olena. She doesn’t use QuickBooks. She uses a Google Sheet with color-coded rows:
- Green = paid
- Yellow = pending (bank review)
- Red = disputed (needs affidavit)
- Blue = needs new invoice version
She texts me:
“Ganglonghu, German buyer says invoice says ‘wristband’. Please send version 3. I will call bank tomorrow.”
No automation. No API. No “real-time.” Just Olena, her phone, and her memory of which clerk works which shift.
I once tried to integrate her sheet with my Shopify. It failed. I asked why.
She said: “If the power goes out, or the internet cuts, I still know who to call. Your app won’t.”
That’s the real difference: In China, systems fail. In Ukraine, people don’t.
I was wrong. My anxiety wasn’t about money. It was about control.
In China, if a payment is late, you blame the system: “The bank is slow.” “The algorithm glitched.” You demand fixes.
In Ukraine, you learn: “The system is broken — but the people are still here.”
I used to check my bank app every hour. Now I check Olena’s WhatsApp status. If she’s online, I wait. If she’s not, I make tea and call her tomorrow.
I’ve learned to measure success differently:
- Did the buyer still pay after 14 days? → Yes.
- Did they say thank you? → Yes.
- Did the bank clerk sign the note? → Yes.
That’s the new KPI.
a) 登录 NBU’s online portal (https://bank.gov.ua) — 用公司账号查“Incoming Payments”
“Hope you’re safe. We’re shipping new batches next week — please let me know if you need updated documents.”
I used to think efficiency meant speed. Now I know: in Kryvyi Rih, resilience is the only currency that never devalues.
I still ship wristbands. Still have team members leave. Still worry about cash flow. But now I don’t check my bank balance every hour. I check my network.
I ask:
- Who’s still answering my calls?
- Who still signs my invoices by hand?
- Who still says “we’re doing our best” — even when the lights go out?
That’s the real “real-time tracking.”
If you’re starting out in Ukraine — don’t look for a system that works.
Look for the people who keep it working.
You don’t need to understand every regulation.
You just need to know who to call when the system doesn’t.
